FTB Form 8879-FID is California’s e-file signature authorization form for fiduciaries. If you’re an executor, trustee, or personal representative responsible for filing an estate or trust income tax return in California, this is the document that lets you (or your paid preparer) submit that return electronically instead of mailing a paper copy with a wet signature.

The form is issued by the California Franchise Tax Board (FTB) and pairs specifically with Form 541, California Fiduciary Income Tax Return. Think of it as the California equivalent of the IRS Form 8879 used for individual e-filed returns, except this version is built for fiduciary filings tied to estates and trusts.

What Form 8879-FID Actually Does

When a fiduciary income tax return is transmitted electronically, the FTB still needs proof that the person legally responsible for the estate or trust reviewed the return and authorized its submission. Form 8879-FID serves as that authorization. By signing it, the fiduciary confirms that the figures reported on Form 541 are accurate to the best of their knowledge and gives the Electronic Return Originator (ERO) permission to transmit the return using the fiduciary’s personal identification number (PIN) as an electronic signature.

Without this signed authorization on file, the ERO cannot legally e-file the return on the fiduciary’s behalf.

Who Needs to File This Form

This form applies to anyone acting in a fiduciary capacity for a California estate or trust that is filing Form 541 electronically. That includes:

  • Executors or administrators handling an estate’s income tax obligations
  • Trustees managing a living, testamentary, or irrevocable trust
  • Court-appointed conservators or guardians filing on behalf of an estate
  • Paid tax preparers or EROs who prepare and transmit Form 541 for a fiduciary client

If the return is being paper-filed instead, this form isn’t necessary — it only applies to the electronic filing workflow.

When It’s Used

Form 8879-FID is completed during the same filing season as the Form 541 it supports, so for the 2024 tax year, it’s used when preparing and submitting the return during the 2025 filing period. It should be signed by the fiduciary before the ERO transmits the return, and both the fiduciary and the ERO typically keep a copy for their records rather than mailing it to the FTB unless specifically requested.

Timing matters here: the form needs to be signed and dated on or before the date the electronic return is transmitted. Backdating or signing after the fact can create compliance issues if the FTB ever requests documentation.

How to Get and Complete the Form

The 2024 version of Form 8879-FID is available directly from the FTB’s forms library as a fillable PDF with AcroForm fields, meaning you can type information directly into the document before printing or saving it. It requires entering the estate or trust’s name, identifying information, the fiduciary’s details, and key financial figures pulled directly from Form 541, such as total income and tax due.

Once the fiduciary reviews the return and the figures on the form match what’s reported on Form 541, both the fiduciary and the ERO sign and date it. The signed form is retained by the tax preparer or ERO for at least four years in case the FTB requests it during an audit or verification process.
