Form DTF-805, officially titled Schedule of Multiple Transactions – Casual Sale of Motor Vehicle, is a supplemental form issued by the New York State Department of Taxation and Finance. It exists for one specific purpose: to let someone report more than one casual sale of a motor vehicle when a single DTF-802 form isn’t enough space to cover all the transactions.

If you’ve ever sold or bought a used car privately in New York, you’re probably already familiar with Form DTF-802, which calculates the sales tax due on a casual (non-dealer) vehicle sale. That form works fine when there’s just one vehicle involved. But when a person is reporting several vehicle sales at once, the DMV requires this additional schedule to list each transaction separately, since DTF-802 only has room for one vehicle’s information.

Who Needs to File DTF-805

This form is mainly relevant to individuals or small businesses that aren’t licensed motor vehicle dealers but have sold or transferred multiple vehicles in casual (private-party) transactions within the same filing period. Common situations include someone liquidating a small fleet, settling an estate with several vehicles, or a family member distributing multiple cars among relatives.

It’s worth noting that DTF-805 is never used on its own. It always accompanies Form DTF-802, acting as an attachment that breaks out the details of each additional vehicle sale so the New York DMV and Tax Department can verify the sales tax calculated on every unit.

When Is This Form Used

You’ll need DTF-805 any time you’re registering multiple vehicles acquired through casual sale and the standard DTF-802 doesn’t have enough lines to list them all. This typically comes up during estate settlements, bulk private sales, or when a buyer is titling several vehicles purchased from the same seller in one deal. Each vehicle still needs its sale price, vehicle identification number, and tax calculation documented, which is exactly what this schedule provides space for.

If you’re new to the casual sale process in New York, it helps to first understand how Form DTF-803 works, since that’s the form used when a vehicle transfer qualifies for a sales tax exemption, such as a gift between family members. Knowing the difference between an exempt transfer and a taxable casual sale will help you determine whether DTF-805 even applies to your situation.

How to Get and Fill Out Form DTF-805

Form DTF-805 is available directly from the New York State Department of Taxation and Finance website as a PDF. It is not a fillable digital form, so you’ll need to print it out and complete it by hand. Make sure you use a black or blue pen and write clearly, since DMV clerks need to read the VIN numbers and dollar amounts without ambiguity.

When completing the form, list each vehicle’s purchase price, the date of sale, the buyer and seller information, and the resulting sales tax calculation for that specific transaction. These entries should match the totals you report on the accompanying DTF-802. Double-check VIN numbers against the title or bill of sale, since a typo here can delay registration at the DMV window.

Once both DTF-802 and DTF-805 are filled out, bring them along with the vehicle titles, bills of sale, and proof of insurance to your local DMV office to complete registration and pay any sales tax owed. If you happen to have paid sales tax on one of these vehicles in another state already, it’s also worth reviewing Form DTF-804, which allows you to claim credit for that tax instead of paying it twice.

Because this form deals directly with tax calculations tied to vehicle value, accuracy matters more than speed. Keep a copy of the completed DTF-805 and DTF-802 for your own records after submitting them to the DMV, in case questions come up later about the reported sale prices or tax amounts.
